How do I calculate person hours spent in review in my report?
The “person hours spent in review” field in the Event Review section of the PSRP reporting form aims to understand the time spent in the event investigation process for your facility.
In calculating the hours, add up the number of hours each person spent:
Reviewing records
Interviewing staff and providers
Entering data
Completing a report
Preparing for review meeting
Attending meetings—calculate the person hours for any meeting by multiplying the number of people at the meeting by the length of the meeting in minutes, and dividing by 60 (e.g., 4 people X 20 minute meeting = 80 minutes; 80 minutes/60 minutes per hour = 1.3 hours).
Example
The Resident Care Manager (RCM) investigating a fall spent 15 minutes reviewing records, 1.5 hours talking with staff and providers about the incident, 1.5 hours talking with the patient and family, 45 minutes logging/entering all of the information, 1 hour preparing for the review meeting, and 1 hour in the review meeting, which was attended by the pharmacist, physical therapist, and two nursing staff in addition to the RCM.
Step 1: Calculate the number of hours outside of meetings
Add the number of minutes the RCM spent: 15 + 90 + 90 + 45 + 60 = 300 minutes.
Divide the number of minutes by 60 for the number of hours: 300 minutes/60 minutes = 5 hours.
Step 2: Calculate the number of hours spent in meetings
Multiply the number of minutes in the meeting by the number of people attending:
60 minutes X 5 people (pharmacist, 2 nursing staff, physical therapist and RCM) = 300 minutes
Divide the number of minutes by 60 for the number of hours: 300 minutes/60 minutes = 5 hours
Step 3: Calculate the number of hours spent by the RCM and the number of hours spent in the review meeting
5 hours + 5 hours = 10 person hours
This is the number you would enter into the “person hours spent in review” field in the PSRP reporting form.
Some events can be fully investigated in as little as ten person hours; others take more than one hundred hours in all. Calculating the person hours is meant to help both you and the Oregon Patient Safety Commission assess how the amount of time spent in investigation affects the quality of the investigation, report, and action plan in response to the event.
